Admin is easier to manage when it has a regular place in the week. Choose one time each month to bring together sales, costs, bank activity and tasks that need a reply. This routine will not tell you which filing duties apply; it helps you keep the information you may need to check them.
A 30 minute monthly check
- Match customer payments to the invoices or orders they relate to.
- Collect supplier bills, receipts and proof of payment in one folder.
- Compare bank transactions with your sales and expense records.
- List invoices customers have not yet paid and decide who needs a follow up.
- Write down questions for your accountant, MRA, bank or licensing authority.
Keep evidence, not just totals
A monthly sales total does not show who paid, what the sale was for or which costs supported it. Keep the underlying invoices and receipts, and write a short note when a transaction is unusual. Store payroll records separately if you employ staff. Back up the files somewhere you can retrieve them if a phone or computer is lost.
Use official sources for due dates
Keep a separate calendar for the deadlines that apply to your business. Check the current MRA guidance and, for a company, the CBRD regulatory requirements. Add the source link beside each reminder and check it again before the due date. A friend’s deadline may not apply to your business structure or activity.
At year end, this monthly folder makes it easier to answer questions and prepare records for your accountant. Fam Antreprenan can help set up a routine that fits how you take orders and get paid.
